Privacy Policy

This Privacy Policy explains how Nuvana Suites collects, uses, discloses, and protects your personal information in the course of operating our salon-suite business in Canada, in compliance with PIPEDA and applicable anti-spam rules (CASL).

Who we are & scope

This Policy applies to information we collect through our Sites (website, forms, email, SMS), in person (tours, leasing), and via our social channels. It does not apply to services provided by independent professionals operating inside our locations (they are separate businesses with their own policies).

What we collect

We collect only what we need for identified purposes (see §3), consistent with PIPEDA’s fair information principles.

  • Contact & identity: name, email, phone, preferred location, profession.
  • Application & leasing: licensing/insurance status, desired move-in date, suite preferences, business name, limited verification details.
  • Communications: inquiry details, call/text/email records, your marketing preferences.
  • Technical: basic usage data (IP address, device/browser, pages viewed, timestamps, cookies or similar).
  • Uploads (optional): portfolio, licensing/insurance documents that you choose to provide.

Note on health information: We do not intentionally collect patient medical records. If you provide health-related details (e.g., allergies for a tour), we use them only to accommodate your visit and then retain minimally. If you operate as a health or wellness provider handling client health information, you may have additional obligations under PHIPA; those obligations are yours as a separate business.

Why we collect it (Purposes)
  • Responding to inquiries and scheduling tours or calls
  • Processing lease applications and managing member relationships
  • Operating, securing, and improving the Sites (analytics, troubleshooting)
  • Sending service and marketing communications according to your preferences (see §7 CASL)
  • Legal and safety requirements, including building, health, and record-keeping obligations for Personal Service Settings where applicable.
Lawful basis & consent

We rely on your consent (express or implied), contractual necessity (to process lease requests), and legitimate interests (security, basic analytics). You may withdraw consent at any time, subject to legal/contractual limits and reasonable notice. PIPEDA requires that purposes be identified, collection limited, and safeguards in place.

Cookies & analytics

We use essential cookies for site operation and may use basic analytics to understand traffic (e.g., page views, device types). You can adjust browser settings to block cookies; some features may not function fully.

Sharing & service providers

We use reputable providers for hosting, forms, SMS, email, scheduling, and file storage. These providers only process information on our instructions and under confidentiality safeguards. We do not sell personal information.

Email & SMS (CASL compliance)

We send commercial electronic messages only with consent (express or implied). Messages identify us, include contact details, and provide a working unsubscribe or STOP mechanism. Keep your consent settings current; you can unsubscribe anytime.

“By checking this box, you agree to receive texts from Nuvana Suites about tours, availability, and offers. Message frequency varies; message and data rates may apply. Reply HELP for help, STOP to cancel.” (Store timestamp, IP, and consent text.)

Retention

We keep information only as long as necessary for the purposes above or as required by law. For operational records in Personal Service Settings, local guidance may require specific retention periods (e.g., keeping certain client records for at least one to three years); confirm your own obligations if you are a practitioner.

Safeguards

We employ administrative, technical, and physical safeguards proportionate to sensitivity: access controls, encrypted transport, least-privilege access, and staff training.

Your rights (Access & correction)

You can request access to, or correction of, your personal information. We will respond within a reasonable time and may need to verify identity. Under PIPEDA, you may also complain to the Office of the Privacy Commissioner of Canada if you’re unsatisfied with our response.

International transfers

Some providers may process data outside Canada. We take steps to ensure comparable protections and contractually require service providers to safeguard information.

Children’s privacy

Our Sites are not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this Policy

We may update this Policy to reflect changes in our practices. Material changes will be posted with a new “Last updated” date.
